Chrona Labs LLC, doing business as Clocksy ("Clocksy," "we," "us," or "our"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit clocksy.coor use any Clocksy product or service (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

2.1 Information You Provide Directly

  • Account registration: Name, business name, email address, and password when you create an account.
  • Team members: Names, email addresses, and phone numbers of employees or team members you add to your account.
  • Lead magnet / marketing forms: First name, business name, email address, and phone number when you request a free guide or other marketing materials.
  • Billing information: Payment card details are collected and processed directly by Stripe, Inc. Clocksy does not store full card numbers or CVV codes.
  • Communications: Any messages, support requests, or feedback you send to us.

2.2 Information Collected Automatically

  • Usage data: Pages viewed, features used, time spent in the application, click paths, and error logs.
  • Device and browser data: IP address, browser type, operating system, device identifiers, and referring URLs.
  • Cookies and session data: We use session cookies to keep you logged in and to maintain your preferences. See Section 7 for more detail.
  • Time tracking records: Clock-in and clock-out timestamps, break records, shift assignments, and hours worked as submitted through the Service.

2.3 Location Data

Clocksy does not currently collect GPS or precise location data. Future versions of the Service may include optional geofencing or GPS-verified clock-in features. If and when such features are introduced, we will update this policy and obtain any required consent before collecting location information.

3. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and provide the Service;
  • Process payments and send billing-related communications;
  • Generate time tracking reports and payroll exports for your business;
  • Send transactional messages (account alerts, password resets, service notices);
  • Send marketing and promotional communications, including by SMS, where you have provided consent;
  • Respond to support inquiries and resolve disputes;
  • Improve, personalize, and expand the Service;
  • Analyze usage trends and monitor for fraud or security threats;
  • Comply with legal obligations.

4. How We Share Your Information

4.1 Service Providers

We share information with trusted third-party vendors who assist us in operating the Service. These parties are contractually obligated to protect your data and may not use it for their own marketing purposes:

  • Stripe, Inc. — Payment processing. Stripe Privacy Policy
  • OneSpot / LeadConnector — CRM, SMS messaging, and marketing automation.
  • Google Workspace — Business email and communication.
  • Vercel, Inc. — Application hosting and content delivery.
  • Neon — Database hosting and storage.

4.2 Marketing Partners

With your explicit consent, we may share your contact information (name, email, phone number) with select marketing partners for the purpose of delivering relevant offers, promotions, or communications related to business operations and productivity. You may withdraw this consent at any time by contacting us at support@clocksy.co or by following the opt-out instructions in any marketing message.

4.3 Business Transfers

If Clocksy is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website before your data becomes subject to a different privacy policy.

4.4 Legal Requirements

We may disclose your information if required to do so by law or in good-faith belief that such action is necessary to comply with a legal obligation, protect the rights or safety of Clocksy or others, or respond to a valid legal process.

4.5 What We Do Not Do

We do not sell your personal information to data brokers. We do not share employee time records or payroll data with any party outside your organization without your explicit instruction.

5. SMS / Text Message Communications

By providing your phone number and checking the applicable consent box on our forms, you agree to receive text messages from Clocksy as follows:

  • Non-marketing messages: Transactional or operational messages such as account alerts, verification codes, and support responses.
  • Marketing messages: Promotional offers, discounts, product updates, and Clocksy-related announcements, only where you have separately consented.

Message frequency varies. Message and data rates may apply. To stop receiving messages, reply STOP to any text message at any time. To request help, reply HELP or contact us at (888) 828-7048 or support@clocksy.co. Opting out of marketing messages will not affect transactional messages necessary to operate your account.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymize your personal data within 90 days, except where we are required to retain it for legal, tax, or regulatory compliance purposes. Time tracking and payroll records may be retained for up to 7 years to support potential employment law or audit obligations.

7. Cookies

We use the following types of cookies:

  • Strictly necessary: Session cookies required to authenticate you and keep you logged in. These cannot be disabled without breaking core Service functionality.
  • Preference cookies: Used to remember your settings and preferences within the Service.
  • Analytics: We may use anonymized analytics to understand how users interact with the Service. These do not identify you personally.

You can control cookies through your browser settings. Disabling strictly necessary cookies may prevent you from accessing authenticated portions of the Service.

8. Data Security

We implement industry-standard technical and organizational measures to protect your information, including encrypted data transmission (TLS/HTTPS), hashed password storage, and access controls limiting who within our organization can view personal data. However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security and encourage you to use a strong, unique password for your account.

9. Children's Privacy

The Service is intended for use by individuals who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us immediately at support@clocksy.co and we will promptly delete such information.

10. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request that we correct inaccurate or incomplete information.
  • Deletion: Request that we delete your personal information, subject to legal retention obligations.
  • Opt-out of marketing: Unsubscribe from marketing emails by clicking the unsubscribe link in any email, or reply STOP to opt out of SMS messages.
  • Data portability: Request a machine-readable export of your data.

11. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected about you, the right to delete personal information, and the right to opt out of the sale of personal information. Our Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies independently.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, where the changes are material, notify you by email or a prominent notice within the Service. Your continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
